This policy explains how Haijahr Limited (“we”) handles personal data when you use BreederHQ. We comply with the UK GDPR and the Data Protection Act 2018.
1. Who is responsible for your data
For your account and marketing information, we are the data controller. For the records a kennel enters about its business, animals and buyers, the kennel is the controller and we act as its processor, handling that information only to provide the service. If you are a member of the public who submits an enquiry to a kennel or signs a contract through the service, that kennel is the controller of your information; you can contact the kennel directly, or contact us and we will pass your request on.
2. What we collect
- Account details: your name, email, password (stored hashed) and kennel details.
- Content you add: dog, litter and puppy records, documents and images you upload.
- Buyer and enquirer details: the names, contact details, addresses and messages that breeders record, or that people submit through a kennel's enquiry form or signing page, including electronic-signature records (the signatory's name, date and time, and IP address).
- Billing: subscription status, VAT details and payment references (card details are held by our payment provider, not us).
- Usage and technical data: basic logs needed to run and secure the service.
3. How we use it and our lawful bases
- To provide and support the service (performance of our contract with you).
- To take payment and prevent fraud (contract and legitimate interests).
- To improve and secure the service (legitimate interests).
- To send service messages, and marketing where you have opted in (consent, which you can withdraw).
4. When we act as a processor
Where we process personal data on a kennel's behalf, we do so only on its documented instructions to provide the service, keep the data confidential and appropriately secure, use sub-processors only under written contract, help the kennel respond to data-subject requests, and delete or return the data at the end of the service. These terms form the data-processing agreement between us and each kennel.

6. Who we share it with
We use trusted providers who process data on our behalf under contract, including our cloud hosting provider, our payment provider (Stripe) for subscriptions and VAT, our email provider for service messages, and the AI provider that reads photos you submit. We do not sell your data. We may disclose data where required by law.
7. International transfers
Some providers may process data outside the UK. Where they do, we rely on appropriate safeguards such as UK adequacy or the international data transfer agreement / standard contractual clauses.
8. How long we keep it
We keep account and content data while your account is active and for a reasonable period afterwards, then delete or anonymise it, unless the law requires us to keep it longer.
9. Your rights
You have the right to access, correct, delete or port your data, and to object to or restrict certain processing. To exercise these, email hello@haijahr.com.
10. Complaints
We are registered with the UK Information Commissioner's Office (ICO), registration number ZB988264. If you have a concern you can contact us, or the ICO at ico.org.uk.
